INFORMATION
FOR CLUB PRESIDENTS
CREDENTIALS:
Delegate
credential cards for use for the three state meetings will be
distributed with the Manual. Delegate cards, signed by the
president of the club, and credential cards shall be presented together
with payment of registration fee. Non delegate members shall
be
admitted upon payment of a registration fee and showing of their
membership cards.
REPORTS: The
compiling of the MANUAL
and the work of the state chairmen are dependent upon the cooperation
of the club presidents in completing the reports. It is
important
that information be received on time.
- PRESIDENT'S
FINANCIAL REPORT: This information is used by the state president in
compiling her annual report. It is, therefore, imperative
that
this report be in the hands of the district director BEFORE March 1 in
order that the summary of the district contributions to Federation and
community projects may be sent to Headquarters to be included in the
president's report.
- MANUAL
REPORT (WHITE): This information is necessary for the printing of the
MANUAL. Presidents shall complete this report and return it
to
Headquarters by May 1.
- Presidents
are responsible for the return of DEPARTMENT AND COMMITTEE reports to
the district director at the January Roundtable.
COURTESIES:
When an officer, a district director or chairman has accepted an
invitation to visit a club, a reminder shall be sent a few days before
the meeting, INCLUDING INFORMATION REGARDING TRAVEL DIRECTIONS, PARKING
FACILITIES, AND PLACE AND HOUR OF MEETING.
Put
day, date, address and name in full on all letters
and return
addresses on all envelopes. Answer each
letter
promptly. If you cannot answer at once, please
acknowledge
and state that as soon as possible
more definite information
will be sent.
With
the exception of the GFWC of Massachusetts President and district
directors, Travel expenses of Chairmen and Parlamentarian shall be paid
by the hostess club at the rate of twenty-five cents per mile per round
trip, no club shall pay more than $25.00.
YEARBOOK:
A
copy of the club yearbook shall be given to the following: State
Federation Headquarters, State President, YOUR district director,
appointments chairman, and your district correspondent for FEDERATION
TOPICS.
CLUB INSTITUTE shall be
held on the first
Thursday of October, December, March, and April. The location
of
Club Institute will be announced. Club members are urged to
attend.
FEDERATION TOPICS, the
official publication of
the GFWC of Massachusetts is issued four times a year. The
subscription rate will be $8.00 per year. Single copies are
available at Club Institute and all State meetings for a price of $3.00.
THE
MEMORIAL FOREST:
The Memorial Forest facilities are available to members of the
Federation, for club meetings and family picnics. For
reservations write: Barbara Volke, 400 Hudson Street, Northborough
01532. Memorial or Tribute donations of no less than $10.00
in
memory or in honor of loved ones will be inscribed in the Memorial Book
as a permanent record and recognized during the Memorial program held
on Federation Day. Make checks payable to the GFWC of
Massachusetts including names of persons to be honored and the name of
club or donor, and send with complete GFWC of Massachusetts donation
form to the GFWC of Massachusetts treasurer.
SERVICE
AT GFWC OF MASSACHUSETTS HEADQUARTERS:
Club members will find helpful material at 245 Dutton Road, Box 679,
Sudbury 01776-0679 (508-443-4569). There is a file of club
yearbooks, reports, material pertaining to the work of various
departments of the Federation. Copies of information and
material
on many subjuects are available. All club members are invited
to
visit Federation Headquarters.
Rental of
Headquarters
meeting room and kitchen is available to member clubs for a nominal
fee: meeting room $25.00, kitchen $10.00, coffee only $5.00.
Reservations for rental must be made in advance with the
Headquarters Executive Secretary, at 978-443-4569, 245 Dutton Road, Box
679, Sudbury, MA 01776-0679. Reservations must be honored
unless
canceled in advance with the Headquarters executive secretary.
It
is expected that rooms will be left in the same good order in which
they were found.
For
clubs wishing to honor their fifty-year members a specially engraved
card is available at Headquarters without charge. GFWC and
GFWC
of MASSACHUSETTS certificates for fifty-year clubs and five-year
intervals thereafter are also available at Federation Headquarters,
requiring one month's notification in advance of club's anniversary.
PINS
AND CHARMS
STATE
FEDERATION pins which
may be worn by any club member, are available at all state meetings or
may be ordered from Headquarters.
JUNIOR
MEMBERSHIP pins and charms may be ordered through Junior
Membershp treasurer.
Gold pins
for fifty year members and silver pins for
twenty-five year members are available from the GFWC Markeplace.
